Terms of service
These are the terms between you (a club, or a member of one) and ClubTitan, operated by [to be confirmed before launch — registered company name and number]. We've kept them short and in plain English on purpose; the short version of everything below is: the platform is free, your money goes to your club's own account, your data is yours, and you can leave whenever you like.
1. The service
ClubTitan is a club management platform: registration, payments, availability, matchday, messaging and a club website, in one place. The core platform is free to use for every club — there is no subscription for the essentials, and no feature your club depends on will be moved behind one.
2. Payments and our fee
Payments are processed by Stripe through Stripe Connect. Your club connects its own Stripe account; money paid to the club goes directly into that account. ClubTitan never holds, pools or touches club funds.
Our fee is 0.6% of each payment made through the platform, collected automatically as part of the transaction, on top of Stripe's standard processing fee. That fee is how ClubTitan is funded — there is no other charge for the core platform. Stripe's own terms apply to the club's Stripe account.
Optional paid extras (such as the premium website at £14.99 a month, free for clubs taking £2,000 or more a month through payments) are always clearly priced before you turn them on, and can be turned off at any time.
3. Your account
You're responsible for keeping your sign-in details secure and for what happens under your account. Club administrators are responsible for who they grant roles to within their club. Tell us straight away if you believe your account has been compromised.
4. Acceptable use
Use ClubTitan to run your club. Don't use it to:
- break the law, or help anyone else break it;
- harass, abuse or endanger anyone — above all, children;
- attempt to bypass the platform's safeguarding rules, including the rule that adults cannot message minors without their guardians included;
- send spam or marketing to people who haven't agreed to receive it;
- probe, overload or interfere with the service or other clubs' data.
We can suspend or remove accounts that break these rules. Where children's safety is involved, we will act first and explain second.
5. Your club's data is your club's
The club owns its data: member records, payment history, content, everything. We process it on the club's behalf, as described in our privacy notice. Export is built in — the club can download its data in open formats at any time, and leaving requires no permission, notice period or exit fee. If a club stops using ClubTitan, we delete its data on a published schedule [to be confirmed before launch].
6. Children
Children's profiles on ClubTitan are created and controlled by their guardians. Guardians are responsible for the accuracy of the information they provide about their children; clubs are responsible for their own safeguarding obligations. The platform enforces its children-first rules automatically, but it supports — never replaces — a club's welfare officer and safeguarding policy.
7. Service provided as-is (pre-launch)
ClubTitan is in its pre-launch phase and the service is provided as-is, without warranties of any kind, while we build with our design partner clubs. We work to keep the service available and your data safe, but we can't promise uninterrupted service. Nothing in these terms limits liability that cannot be limited by law. Detailed liability and indemnity terms are [to be confirmed before launch] with legal review.
8. Changes and ending the agreement
We may update these terms as the product grows; if a change matters, we'll tell clubs directly and in advance, not bury it. You can stop using ClubTitan at any time — export your data and go, no questions asked. We may end the agreement with notice, or immediately where these terms are seriously breached.
9. Law and contact
These terms are governed by the laws of England and Wales [to be confirmed before launch], and disputes belong to the courts there. Questions about these terms: [to be confirmed before launch — contact email]. This draft was last updated in July 2026.
